Pristone Academy LLC ("Pristone Academy," "Pristone," "we," "us," or "our") provides educational diagnostics, tutoring, coaching, mentorship, research guidance, technical instruction, online lessons, and related educational services through pristoneacademy.com and associated communication, scheduling, payment, and videoconferencing tools (collectively, the "Services").

This Privacy Policy explains what information we collect, how we use it, when we disclose it, how long we retain it, and the choices available to learners, parents, guardians, and other users.

1. Who This Policy Covers

This Policy applies to information processed through:

  • pristoneacademy.com and Pristone-operated web pages;
  • inquiries, diagnostic requests, enrollment, and scheduling;
  • one-to-one and group instruction;
  • Zoom and other approved videoconferencing services used for lessons;
  • lesson participation data, instructional notes, diagnostics, progress reports, and lesson summaries;
  • research, coding, mathematics, test-preparation, interview-preparation, and mentorship engagements;
  • communications with Pristone by email, form, or other approved channels; and
  • payment and transaction administration.

This Policy does not govern a third-party service when you interact with that service independently under its own terms or privacy policy.

2. Information We Collect

We collect only information reasonably necessary to operate the Services, provide instruction, protect users, administer engagements, and meet legal obligations.

2.1 Information You or a Parent/Guardian Provide

Depending on the engagement, this may include:

  • name;
  • email address;
  • telephone number;
  • parent or guardian contact information;
  • learner age or age range;
  • grade level, school level, or academic stage;
  • time zone and scheduling availability;
  • academic, competition, test-preparation, interview, career, or technical goals;
  • prior scores, practice results, work samples, code, drafts, solutions, project files, or other materials submitted for instruction;
  • diagnostic responses and performance data;
  • communications with Pristone;
  • billing-related information and transaction records; and
  • other information voluntarily provided to help Pristone understand the learner's goals or needs.

Pristone generally does not need Social Security numbers, government identification numbers, bank-account credentials, or unrelated medical records to provide educational services. Please do not submit such information unless Pristone specifically requests it for a legitimate purpose.

2.2 Learning, Diagnostic, and Progress Information

During an engagement, Pristone may create or maintain:

  • diagnostic results;
  • observed strengths and skill gaps;
  • instructional priorities;
  • error patterns;
  • practice history;
  • lesson notes;
  • progress measurements;
  • recommended next steps;
  • learner-created code, drafts, solutions, projects, or research artifacts;
  • feedback and revision history; and
  • summaries provided to the learner or, where appropriate, a parent or guardian.

2.3 Zoom and Lesson-Participation Information

When lessons are delivered through Zoom or another approved videoconferencing service, Pristone may process information such as:

  • participant name or display name;
  • meeting identifier;
  • join and leave times;
  • attendance duration;
  • participation or engagement metadata made available by the meeting platform;
  • chat or files intentionally shared during the lesson;
  • lesson transcript or meeting summary, when those features are enabled and any required consent has been obtained; and
  • a Pristone-generated lesson summary based on lesson activity or approved meeting artifacts.

Session recording is not automatic Pristone policy. For minors, Pristone records a session only with the written consent of the parent or guardian and the student. If either prefers not to record, Pristone will not record the session. Other platform-generated metadata necessary to operate or document the lesson may still be processed.

2.4 Website and Device Information

When you use the website, hosting, security, or analytics systems may automatically receive limited technical information such as:

  • IP address;
  • browser and device type;
  • operating system;
  • referring page;
  • pages viewed;
  • date and time of access;
  • cookie or similar identifier; and
  • security or diagnostic logs.

Pristone may use cookies or similar technologies that are reasonably necessary for site operation, security, preferences, analytics, or conversion measurement. Pristone does not use children's personal information for behavioral advertising.

2.5 Accommodation Information

A learner or parent may voluntarily provide information about accessibility needs, approved testing accommodations, learning preferences, or other circumstances relevant to instruction. Pristone uses that information only as reasonably necessary to adapt the educational service, administer the engagement, or comply with law.

3. How We Use Information

Pristone may use personal information to:

  • respond to inquiries;
  • determine whether a Pristone service is a good fit;
  • schedule and administer diagnostics, lessons, and mentorship;
  • personalize instruction;
  • evaluate learner performance and progress;
  • generate instructional notes, diagnostics, recommendations, and lesson summaries;
  • communicate with learners, parents, and guardians;
  • administer packages, invoices, payments, credits, or refunds;
  • maintain the integrity and security of the Services;
  • detect abuse, fraud, misuse, or technical problems;
  • protect Pristone, learners, families, and other users;
  • comply with legal, tax, accounting, and regulatory obligations;
  • enforce agreements and resolve disputes;
  • improve Pristone's educational methods and service operations using appropriately limited or deidentified information; and
  • perform other purposes disclosed at the time information is collected or with appropriate consent.

Pristone does not sell personal data. Pristone does not use student lesson content or children's personal information for targeted advertising.

4. AI-Assisted Processing

Pristone may use artificial intelligence tools as part of its educational and operational workflow, including to assist with:

  • lesson summaries;
  • organization of instructional notes;
  • diagnostic synthesis;
  • generation of practice material;
  • categorization of recurring errors;
  • drafting of progress summaries; and
  • internal administrative support.

Where an external AI service provider is used, Pristone seeks to limit the information shared to what is reasonably necessary for the task and uses business or contracted services where appropriate.

AI output is not treated as infallible. Material instructional conclusions remain subject to human review.

Pristone does not authorize a learner to upload confidential employer information, restricted school records, private customer data, credentials, trade secrets, or other information the learner is not authorized to disclose merely because an AI-assisted workflow is available.

5. How We Disclose Information

Pristone may disclose information to the following categories of recipients when reasonably necessary:

5.1 Service Providers

Examples include providers supporting:

  • videoconferencing;
  • cloud hosting and storage;
  • website hosting and content delivery;
  • scheduling and calendar functions;
  • payment processing;
  • email and communications;
  • security and fraud prevention;
  • analytics;
  • document or file storage; and
  • AI-assisted processing.

These providers receive information only as needed to perform services for Pristone or as otherwise disclosed to you.

5.2 Parents and Guardians

For a minor learner, Pristone may share scheduling information, engagement status, progress information, diagnostics, phase outputs, safety or conduct concerns, billing information, and other information reasonably related to the educational engagement with the learner's parent or legal guardian.

Pristone also seeks to preserve an age-appropriate space for a learner to think, struggle, ask questions, and develop independence.

5.3 Schools or Other Organizations

If Pristone is retained by or formally works with a school, educational institution, employer, or other organization, information may be handled according to the applicable agreement and law.

Pristone does not claim that all information it maintains is governed by the Family Educational Rights and Privacy Act ("FERPA"). FERPA generally applies to education records maintained by covered educational institutions. If Pristone receives protected education records while acting for a covered institution, Pristone will handle them in accordance with the applicable agreement and legal requirements.

5.4 Legal, Safety, and Business Requirements

Pristone may disclose information when reasonably necessary to:

  • comply with law, court order, subpoena, or valid legal process;
  • protect the rights, safety, or property of Pristone or another person;
  • investigate fraud, abuse, or security incidents;
  • enforce an agreement; or
  • evaluate or complete a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate protections.

6. Children's Privacy

Pristone provides educational services to minors, including some learners under age 13.

6.1 Parent or Guardian Involvement

A child under 13 may not independently enroll in a paid Pristone service or knowingly provide personal information directly to Pristone without appropriate parent or guardian involvement.

Where Pristone has actual knowledge that personal information will be collected online directly from a child under 13, Pristone will seek verifiable parental consent when required before collecting, using, or disclosing that information, subject to legally recognized exceptions.

6.2 Information That May Be Collected From a Child

Depending on the service and parental authorization, this may include:

  • name or approved display name;
  • online contact information needed for a lesson;
  • academic responses, code, written work, or project material;
  • lesson participation information;
  • photographs, video, or audio only where appropriate and authorized;
  • chat or files intentionally shared in a lesson; and
  • other information directly related to the educational activity.

Pristone does not permit children to publicly post personal information through the Pristone website.

6.3 Parent Rights

A parent or legal guardian may contact Pristone to:

  • review personal information collected from their child;
  • request deletion of the child's personal information;
  • refuse further collection or use of the child's personal information; or
  • withdraw previously provided consent, subject to information Pristone must retain by law or to complete an already-authorized transaction.

Pristone will not condition a child's participation on providing more personal information than is reasonably necessary for the activity.

6.4 Retention of Children's Information

Pristone retains a child's personal information only for as long as reasonably necessary for the educational purpose, engagement administration, safety, legal compliance, or another disclosed purpose. When information is no longer reasonably necessary, Pristone will delete it using reasonable measures designed to protect against unauthorized access or use.

7. Student Work, Research, and Project Data

The learner retains ownership of the learner's original work and code unless a separate written agreement expressly states otherwise.

Pristone may access and use learner work only as reasonably necessary to:

  • provide instruction;
  • review or comment on the work;
  • measure progress;
  • administer the engagement; or
  • comply with law.

Pristone does not publish a learner's identifying information, private project artifacts, or attributable case-study material without an appropriate permission basis. For minors, written parent or guardian authorization may be required.

Research mentorship should ordinarily use public, properly licensed, deidentified, or otherwise authorized datasets. Learners should not upload private personal data, confidential datasets, protected health information, proprietary school data, or employer/customer information without advance written approval and a lawful basis.

8. Payments

Pristone may use third-party payment processors. Payment-card numbers and similar payment credentials may be collected directly by the payment processor rather than stored by Pristone.

Pristone may retain transaction information such as:

  • purchaser name;
  • amount;
  • date;
  • service purchased;
  • invoice or transaction identifier;
  • payment status; and
  • refund or dispute information.

Payment processors process payment information under their own terms and privacy policies.

9. Data Retention

Pristone uses purpose-based retention rather than keeping information indefinitely.

Retention depends on the type of information and may include:

  • inquiry records for a reasonable follow-up period;
  • active engagement records for the duration of the engagement;
  • instructional notes and learner artifacts for a reasonable period after the engagement to support continuity, review, or requested follow-up;
  • recordings only for the authorized educational purpose and subject to the applicable consent or engagement terms;
  • payment, tax, accounting, and transaction records for periods required by law or legitimate business needs;
  • security and system logs for a limited operational period; and
  • records reasonably necessary to establish, exercise, or defend legal claims.

You may request deletion as described below. Some information may be retained when required by law, needed for security or fraud prevention, necessary to complete an authorized transaction, or necessary to establish or defend legal rights.

10. Security

Pristone uses reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

No online service, storage provider, transmission method, or security control can guarantee absolute security. Users should also protect their own accounts, meeting links, passwords, devices, and confidential information.

11. Privacy Rights and Requests

Depending on where you live and which privacy laws apply, you may have rights to:

  • confirm whether Pristone is processing your personal data;
  • access personal data;
  • correct inaccurate personal data;
  • request deletion;
  • obtain a portable copy of certain data;
  • withdraw consent where processing is based on consent; and
  • opt out of certain forms of targeted advertising, sale, or qualifying profiling.

Pristone does not sell personal data and does not use personal data for targeted advertising as those practices are ordinarily understood in U.S. state privacy laws.

To make a privacy request, email info@pristoneacademy.com with the subject line Privacy Request and describe the request. Pristone may need to verify your identity or authority before completing a request.

If Pristone denies a request that is subject to an applicable appeal right, you may appeal by emailing info@pristoneacademy.com with the subject line Privacy Appeal and explaining why you believe the decision should be reconsidered.

Pristone will not discriminate against a person for exercising an applicable privacy right.

12. Texas Residents

Where the Texas Data Privacy and Security Act ("TDPSA") applies, Texas residents may have rights to access, correct, delete, and obtain a portable copy of personal data, and to opt out of certain targeted advertising, sales, or qualifying profiling.

Pristone's disclosures are intended to describe:

  • the categories of personal data processed;
  • the purposes for processing;
  • the categories of personal data shared with third parties;
  • the categories of third parties receiving personal data; and
  • how a consumer may exercise applicable rights.

Pristone does not sell personal data.

13. International Users

Pristone may serve learners outside the United States. By using the Services, information may be processed in the United States and in other locations where Pristone's service providers operate.

Where additional regional privacy rights apply, Pristone will address valid requests as required by applicable law. International families should contact Pristone before submitting sensitive or regulated information if they require specific contractual, localization, or institutional privacy terms.

14. Third-Party Links and Platforms

The Services may link to or rely on third-party platforms, including videoconferencing, payment, scheduling, review, educational, code-hosting, or communication services.

Those services may collect information under their own privacy policies. Pristone is not responsible for the independent privacy practices of a third party when that party acts for its own purposes.

15. Changes to This Privacy Policy

Pristone may update this Privacy Policy to reflect changes in the Services, technology, legal requirements, or business practices.

When changes are material, Pristone will take reasonable steps to provide notice appropriate to the circumstances. The "Last Updated" date at the top shows when this Policy was most recently revised.

If a material change affects information collected from a child in a manner requiring renewed parental consent, Pristone will seek that consent before applying the new practice to the child's information.
